Technical Services Executive

Provide Technical services supports to Food (OB FNF and Fresh & RTE) for ensuring that our suppliers are effectively meeting our “DF Quality Management Systems” and DF Own Brand Business initiatives – Ethical, sustainability etc.

Primary Purpose & Function

– Provide Technical services supports to Food (OB FNF and Fresh & RTE) for ensuring that our suppliers are effectively meeting our “DF Quality Management Systems” and DF Own Brand Business initiatives – Ethical, sustainability etc.

– Measure suppliers through continuous assessment of trends via “Key Quality Metrics” – Routine Testing; Audits, Laboratory testing, complaints, withdrawals/recalls and product specification compliance e.g. Supplier; Product; Process and Packaging.

– Support Product Technology Functions (OB FNF and Fresh & RTE) with technical administrative services e.g. data analytics/ collection/research/KPI reporting/risk impact assessments.

Key Priorities & Challenges 

– Work closely with group and local Food teams (OB FNF and Fresh & RTE) to collect data and run analysis for measuring QA program effectiveness; suppliers’ performance and product performance

– Surveillance management – Monitor and Measure on Product & Quality

– Initial complaint logging and re-direction of complaint to appropriate division (OB FNF or Fresh & RTE)

– Prepare KPI reports for Food teams (OB FNF and Fresh & RTE) to support the evaluation of banners’ and suppliers’ performance and product performance

– Guardians of the development, implementation and continuous monitoring of the 3 Steps to Quality Compliance program

– Central point for OB FNF and Fresh & RTE technical information – collection; collation and delivery

– Regulatory impact analysis work – with RA lead

Key Responsibilities

– Daily liaison with in-country functional team members, collate and prepare all required technical information necessary for all week/month/quarter/year data reports – prepare functional KPI/Dashboard

– Liaison with 3rd party laboratory – supports the ongoing laboratory testing programs

– Schedule all applicable tests with the appropriate nominated Third Party and ensure timelines are adhered to.

– Ensure that the Third Party are routinely informed of new schedules or invoice queries

– Track testing status and work with Sourcing team to arrange store lists if necessary

– Ensure that the Third Party / Internal cross functional teams and Suppliers are routinely informed of new schedules or invoice queries

– Ensure that 3rd party laboratory KPI’s are set with targets and reviewed routinely as agreed

– Cross checking invoices and test reports to ensure invoices are accurate

– Liaison with 3rd party Audit Firm for supporting Audit Completion

– Track supplier status of ‘Third Party Audit’ compliance. Work with Third Party Service provider to ensure that matrix is correctly updated, and audits are scheduled to avoid zero deviation from the ‘Base Quality Compliance Standard’

– Ensure that the Third Party / Internal cross functional teams and Suppliers are routinely informed of new schedules or invoice queries

– Liaison with 3rd party Inspection Body, manage inspection schedule and ensure completion of routine inspection needs

a. Ensure that the Third Party / Internal cross functional teams and Suppliers are routinely arranged for inspection

b. Ensure that the Third Party / Internal cross functional teams and Suppliers are routinely informed of new schedules or invoice queries

c. Cross checking invoices and test reports to ensure invoices are accurate

– Support any supplier performance analytics – prepare all Supplier Technical Scorecards – ‘Quality Assurance Metrics’ to provide the QA team / Business team with feedback on performance of our suppliers on a regular basis.

– Manage/maintain/issue Sustainability & Ethical related tracker(s)

– Collaborate with the cross functional teams to manage / maintain / update and issue Sustainability & Ethical related tracker(s) on a regular basis

– Manage/maintain/issue the Technical Library

– Collaborate with the cross functional teams to manage / maintain / update and issue all ‘DF Quality Standard Operating Procedures’. This includes management of the ‘Technical Manual’ and ensuring all documents are maintained under a ‘controlled’ numbering system.

– Daily running of Group Product Alert platform, include research and collation of information for product incidents across function and countries. Record and track trends.

– Assist Technical Services Manager “Special Projects”- e.g. ad-hoc data analytics; research; system/product/supplier’s performance reports; product evaluation session; change management; testing gaps/costs, etc.

– Support Head of Tech. Services/Tech Service Manager to conduct internal technical compliance review.

– Assist Functional Heads with “Special Projects” – to include but not limit to “Preparation for working groups, technical conferences and Information sharing sessions.

– Support product/license registration and support the management of registration tracker when needed

– Super-user of QAIT System/PLM (Center)

Key Requirements

– College graduate with a major in Food Science/Engineering/Manufacturing or other Science related degree

– Administrative experience in dealing with multiple streams and sources of data/reporting experience

– Work experience in an office based/analytical role preferable.

– Analytical work-related experience with the ability to review microbiological data and identify statistical trends.

– Proficient in MS Office (Word, Excel, PPT), excellent in Excel skills

– Ability and experience working in database suites.

– Demonstrated ability to work independently, communicate effectively, work under pressure, and prioritize tasks effectively to meet deadlines.

– Problem solving skills and negotiating skills.

– Excellent oral and written communication skills.

– Excellent interpersonal skills and be a team player.
